If you operate a retail store or food service establishment, you know how difficult it is to keep track of inventory and know when it’s time to stock up, how much to order, and so on. Even the most accurate record-keeping can sometimes falter, leaving you in a lurch when you run out of merchandise or when you order too much and, in the case of food, it goes bad before you can sell it. Besides, trying to keep track of what you sell, what you have left, and what you need to order (not to mention when) can take up valuable time that could be spent growing your business. Fortunately, businesses of all sizes have the option to automate their inventory tracking through the use of point of sale (POS) systems.
What is a POS?
A point of sale system is the combination of retail management software and hardware that processes sales transactions, tracks inventory, keeps records and provides reports, tracks marketing and advertising efforts and much more. In essence, it allows retailers to maintain absolute control over sales and inventory while presenting an easy customer checkout. There is a wide variety of systems available on the market. Many retail business owners or managers use POS systems.
POS systems improve efficiency by allowing you to spend less time on paperwork, accounting, inventory management, sales record keeping, as well as managing such programs as marketing, special advertising programs, loyalty programs, discount programs, and much more.
Retail software helps keep track of sensitive information such as customer personal information, staff payroll, customer billing and shipping, vendor listings, and inventory management.
Inventory Tracking with POS
One of the most useful features of any POS system is the ability to keep track of inventory based on transactions processed through the system. Having a detailed, real-time look at what is selling and what is not will allow you to see what you need to push in order to move. It will also show you when you need to order more stock. If you have a developed stock plan, it will be very easy for you to see when it is time to update your inventory. If you are still developing one, the inventory tracking feature of POS software can help you experiment and even automate a plan.
Keeping track of inventory can show you what your top-selling products are, allowing you to stock up on more of them. You can also automatically create purchase orders based on sales history.
Look For
If you’re considering investing into POS software to help you know when to update your inventories, then take into account these important factors:
- Software that tracks and can be sorted by category. Most good POS systems include this feature. It allows you to see at first glance which categories of items move faster than others so you can maintain good stock levels in those areas.
- Software that shows inventory levels and sales history on purchase order screen. Basing present orders on past sales is a time-proven method. POS can put all the relevant information on one page.
- Most importantly, do your homework and ask around. Look for a reputable provider that will stand behind their product and provide ongoing service.
Not only is the POS system allowing consumers to experience a better shopping experience, but the point of sale software offer merchant services that allow businesses to better manage their merchant account. With POS systems, the hassle of using cash is eliminated.
Is a Point-of-Sale System Worth the Money?

Along with the new and innovative technologies impacting our daily lives, there have also been many changes to how a business operates. Because of increased competition, more businesses are looking for ways to make their companies more efficient and effective. One technological advancement that has become a popular choice for many businesses is the POS system (point of sale).
A point-of-sale system is a computer automated alternate for a cash register. The point of sale software can perform such functions as record and track customer orders, process credit and debit cards, and manage inventory. These computer based systems are becoming an essential tool in daily business operations and business owners are seeing a significant return on their investment.
Below is a list of reasons why the point-of-sale system is worth the money:
A point-of-sale system can be networked to other terminals, and even another server. You can use a wireless device or other computer that are linked to the central system to access the server. Reports from all of the cash register systems can be downloaded and combined into one file. As well, for businesses such as restaurants, staff can take food orders and send them electronically to the kitchen.
POS systems allow businesses to maintain detailed sales reports so they can evaluate marketing methods and make any necessary changes to improve sales. Sales can be assessed by promotional activities, SKU, reward programs, when the products are sold, and what products are sold. You can even track clerk sales. You can identify peak selling hours and adjust staff accordingly. A POS system can also provide up-to-the-minute sales reports for the day, week, month, or year.
POS systems allow better for better inventory management. You will know when you are running low on certain items so you can quickly reorder. You can calculate and create restocking orders and email them to suppliers. You will also know what items are selling so you can better manage merchandise displays. As well, there is no longer any double entry of orders.
With POS, item scanning is more accurate which reduces sales discrepancies.
Customer service is improved. POS systems allows for faster transactions resulting in faster customer service. There is also integrated credit card processing.
The system allows for managing and processing gift cards as well as managing loyalty reward programs which helps with various marketing plans. There are also charge accounts that are built into the software.
While a retail POS system may cost more up front, with its increased functionality, it will eventually pay for itself. A good retail point-of sale-system eliminates unnecessary work freeing employees to cater to their customers. The features found in electronic cash registers are far greater than traditional cash registers.
Big or small, every retailer will see an immediate return on their investment when they choose the right retail point-of-sale system. Running a more efficient business and improving customer relationships, will result in increased sales. If you have an establishment that takes payment onsite, consider a point-of-sale system.
The Use Of Electronic Devices When Paying With Credit And Debit Cards

When making payments both online and offline, the trend is to now pay with credit cards and debit cards. Much of this is due to the fact that they are quick, convenient, and they allow you much more freedom when it comes to purchasing. In the case of credit cards, individuals are able to get rewards and they can buy now, pay later. When it comes to debit cars, the funds are directly deducted from a checking account instead of having to pay cash.
Online
When paying online, the only way to do it is to use a credit or debit card. Thats unless the merchant will accept payment from merchant services such as PayPal, or they have a system in place that enables you to send them a check for the purchase amount. But it is fair to say that most businesses will utilize a credit card system. They usually have merchant accounts set up online so that they dont have to use any electronic devices to process credit card payments. It is all done automatically.
The only time that an online merchant may use a device is if they have a generic system set up where you enter your credit card number and they have to enter it manually on their end when they get it. This is not something you will find often and is actually something that you should look out for when doing online payment transactions. You want to do transactions with a site that is secure. If you see HTTPS:// in the address bar, then you know you are doing business with a secure website.
Offline
In the offline world is where you will see electronic devices used to make credit card payments. When you go to the grocery store or your local department store, you probably scan your credit or debit card through a machine that is right there at the checkout. The clerk has no need to see your card. Sometimes they will request your ID so that they can match up the signature on their screen with the signature on your ID to ensure you are who you say you are. This is actually a good system because no one touches your card other than you. This reduces the chance of clerks using skimmers to duplicate the information in the magnetic strip of your card.
The alternative is the built-in equipment. This is credit card processing machinery that is built into the cash register. The clerk takes the card, looks at the signature on the back of the card, scans it, and then looks at your ID or compares your signature on the credit card slip to the one on the ID.
But there is another alternative and that is the standalone machine that virtually any merchant can use. There are a lot of mom and pop stores and restaurants using these machines. They connect them to their phone lines and scan the card through. Each transaction results in a charge for them so that the company providing the machine makes a profit. When a business is not part of a larger chain that uses a universal system, this is a great solution because it grows business, is convenient for the customer, and is also convenient for the business in that things such as tipping is made much easier.
So if you are not using a point of sale credit card machine, then it is time to start using one. Most individuals now become irritated when they come across a business not taking credit and debt cards, so make sure you can cater to that.
What exactly is a Merchant Account?

In the simplest terms possible, a merchant account is what lets businesses accept payments in the form of credit cards and debit cards. A merchant account may not have been all that important a few decades ago when most businesses operated on a cash and carry basis, but it is of the utmost importance for any business that wants to thrive, or even survive in this day and age.
Very few people carry a whole lot of cash around in their wallets anymore, if cash gets lost or stolen ” there is no recovering it. If you drop your wallet, whatever money was inside can be considered long gone, there was once a time when there were enough good Samaritans out there that if one actually saw you drop your wallet you might stand a chance of getting it back, but unfortunately those days are gone for the most part.
On the other hand, if your wallet full of credit cards gets lost or stolen you can take the necessary steps to ensure that you are protected. Lost or stolen cards can be cancelled and fraudulent charges will be removed from your record. Fraudulent credit card use can be stopped and once the card has been reported stolen, the authorities will be identified anytime someone tries to use it ” there are not now, nor will there ever be such measures of protection avai
With the simple facts covered above, and the overly advertised protection services offered to credit cards users its no wonder that credit cards have become the preferred method of payment among the bulk of the
If a business doesnt have a merchant account, they could conceivably be cutting their potential sales by more than fifty percent. Merchant accounts give convenience and a wide variety of payment choices to your customer ” making your business a much more accessible, and therefore pleasing, shopping experience. Customers will remember the fact that they have the options that they need to have as far as payment methods are concerned when visiting a store that has a merchant account and will be much more likely to patronize that business again when they are in need of something.
Merchant accounts just dont give a business customers more options at the checkout counter; they can also allow a business to potentially take a payment in the form of a credit card over the phone. For an exceedingly busy customer, who absolutely needs to be in and out of a business in short order with his or her order this could be a huge value added service to provide. If a busy customer has a chance to cut their transaction times with your business over another business in half just by making a phone call, then you will most likely win much of that busy customers business.
In todays marketplace businesses have to go to extreme measures to get any kind of edge that they can over a competitor. Any value added service that one business can offer that another cant makes them a potentially more valuable source for product for any customer. What a merchant account can do for a business is to give them the ability to drastically increase the value added services that they provide to their customers.
Any business that wants to provide the best possible service that they can to any customer that walks through the door could most certainly benefit from having a merchant account. A merchant account, when used to its fullest capabilities is one of the most valuable tools that any customer based business can have.
POS Machines: Easy solution to process your payments

We live in a day and time when it is very rare to walk into a place of business and not be able to pay with a credit or debt card. Actually, when a person walks into a business that does not allow credit or debt card payments, the customer can become extremely annoyed. As a matter of fact, they may walk out and not come back. This is because they do not want to have to hunt for an ATM machine and come back. They want to walk into the business, get what they want, and pay for it with the means that they have to pay for it. Its as simple as that.
The benefits
So if youre operating your business without a POS machine, it is time to review the benefits so that you can see how having these machines can benefit you and your business.
Usually, when a customer walks in they are looking for the credit card decals around your front door or your cash register. They want to make sure you take credit and debit cards. If you dont, they will probably not come back because of the fact they might find somewhere else to go on their way to the ATM machine. They become very annoyed and may decide not to do business with you for this very reason. Then again, they may only do business with you when they have cash in their pocket and for some people that isnt often.
Your business will grow. When a business accept credit card and cash, they do more business because they are appealing to different types of people. Your business can do this.
Keep in mind, however, that POS machines do not consist of just credit card machines. They consist of cash registers as well, which everyone knows is important for funds accountability and ensuring that the customer receives back the right change.
POS machines are all about accuracy. Customers stay happy and you stay happy because you dont have to worry about frequent customer altercations about how much money was charged, how much change they got back, or any other monetary or credit card dispute.
Basically, the use of a POS machine is something that is really going to benefit your business. Without a machine or two, doing business can be a bit tougher unless you are doing business strictly online and you have merchant accounts with payment processing companies. That is really the only exception.
How to find them
If you want to bring POS machines into your business, there are a lot of machines to choose from. First of all, you need a cash register. Your basic cash register will do fine. You dont have to have anything elaborate unless you are a large business. The tricky one, however, is the credit card machine. This is because there are many companies out there offering credit card machines. The best way to get through this is to look at the fees that the company takes from each transaction. Compare the fees of the different companies so that you can find one that suits you best.
Once you find the right POS system machines, youll be glad that you did because youll be able to experience all of the benefits that are available to you. Your business will grow, you will find that your customers will be happier, and even you will be happier. The increase in business will far outweigh any of the fees that you may have to pay to have credit card equipment. From there, you can grow your business.
